Frequently Asked Questions (FAQ)

Application Questions

• What type of evaluation should I get? What’s the difference between the General Evaluation and the Course-by-Course Evaluation? What happens if I choose the wrong one?The General, or Basic, Evaluation includes a list of each academic credential earned as well as a U.S. equivalent. In addition, it includes a Grade Point Average (G.P.A.) and indication about the accreditation/recognition of the institutions awarding the credentials. The Course-by-Course, or Detailed, Evaluation includes all of the above as well as a listing of each course studied, along with the grade on the transcript, a suggested U.S. grade, and suggested credit hours. If you initially apply for a General Evaluation and realize that you really need a Course-by-Course evaluation, you will need to pay the difference of the application fees. If you initially apply for a Course-by-Course Evaluation but only have Secondary School records, we will only charge you for a General Evaluation (or we will refund the difference as soon as we realize that you selected the wrong application type).
• What is considered an official document? Do you need my original transcripts? I can’t get another copy of my original. Can you request it from the university? Do you have a request form that I can submit to them? What do you mean you need to verify my documents?Official documents are generally original documents or documents attested by a pre-approved education authority. For most countries, we will require original transcripts/statements of marks/marksheets. However, we understand that in some countries, it is difficult to get another original, so please email us and we can let you know if we can make other arrangements. In those situations, we will let you know via email that your application will remain on hold until the verification process is complete. If there are additional fees for the verification, we will let you know that as well.
• How long will it take to evaluate my documents? How far in advance should I apply for an evaluation? Why is it taking so long? Credentials evaluations typically take approximately three to four weeks from the time we receive fees and all required official academic credentials. However, because we cannot guarantee the length of time needed for verification of documents or research for less-common credentials, we suggest that you apply two months in advance of any deadline.
• What’s going on with my evaluation? How do I find out the status of my application?Please send us an email at info@transcriptresearch.com to check on the status of your application, and we will make every effort to respond within 2 business days.
• I forgot to include this other school on my application, and now I want to do a new evaluation; what do I need to do? I forgot to include this other school on my evaluation, but the evaluation is not yet done; what do I need to do?If your application has already been evaluated and sent to you, and you realized that you neglected to provide full disclosure, you will need to submit a new application along with your new academic credentials. If your application is still being evaluated, however, we will merely ask that you send an amended Educational History so that we can conduct the evaluation with all necessary information.
• I had an evaluation done last year to get admitted to my U.S. university, but I was still enrolled in my home country. Do I have to apply all over again to get my new courses evaluated?If your application has already been evaluated and you are need to have it re-evaluated to include new coursework that was completed after the date on the initial evaluation, then you will need to submit the application form and select a Re-Evaluation. You will pay a reduced fee, but you will still need to complete the entire application form (especially the educational history) and send final, complete academic credentials from your last school attended.

Documentation Questions

• Will you keep my documents, or can I have them back? When can I get my documents returned to me? How will you send my documents back to me?We will return all official academic records that you provided with your application when we send you the completed evaluation. Your official academic records will be sent using whatever mail service you paid for: U.S. Postal Service Priority Mail, U.S.P.S. Express Mail (U.S. address), or U.S.P.S. Express Mail (Foreign Address). All photocopies you provide will become our property, and any documents sent directly to us by the issuing institution will also become our property and will not be returned to you. If you wish all of your evaluations to be sent to people other than yourself, we will mail your official academic credentials to your mailing address via U.S. Postal Service First Class Mail unless you pay for separate Express mail.

• I have a Bachelor/Master/Doctoral degree; do I have to submit my secondary school records? I am applying as a transfer student to a college or university; do I have to submit my secondary school records?If you already have a post-secondary degree completed, it is generally not necessary to send your secondary school records, but you will still need to complete that information on the application form. If you have completed no post-secondary studies or less than one year of post-secondary studies, you will need to provide your official secondary school records. For those countries where advanced standing (university credit) *may* be awarded for a 13th year of secondary school, we may ask to have you send those documents to us after all.

• I earned a degree/studied/graduated from a school in the U.S. Do I need to send my U.S. transcripts?Transcript Research does not evaluate U.S. credentials, but we do need you to list all schools and information on your educational history and include a photocopy of your U.S. studies so that your application for evaluation is not delayed.

• I got an email saying my application is on hold because you have sent it for verification; what does that mean and how long will it take. What does it mean that you are authenticating my degree? Why does your requirements list say that I have to have my transcripts sent to you directly from the school/examination body? Transcript Research does not accept photocopies, scans, or faxes of academic credentials for evaluation. In addition, we sometimes find that it is necessary to verify or authenticate some of the academic credentials we receive due to a variety of reasons. At other times, we know it will be much faster for you to request official documents to be mailed to us than for us to contact the issuing institution and request a verification. Some verifications may take as long as six months while others can be resolved in less than a week, depending on the country, level of education, and time of year.

Monetary Questions

• I can’t get all of my documents. Can I cancel my application and get a refund? Within 2-3 business days of our receipt of your application, we will send you a status email (provided you indicate an email address on your application). At that point, we will let you know if there are any missing items from your application, including the country-specific requirements for official documents. If, at that time, you realize that you will not be able to provide all of the official documents, you can cancel your application within 7 days for a 50% refund.
• I’m applying to more schools. Can I get additional copies of my evaluation? How long will you keep my application on file? We will keep your application on file for seven years. At any time during that seven year period, we will be happy to send you (or your designated recipient) an additional, official copy of your completed evaluation for $20 per copy.

General Questions

• Can I get a preliminary review of my documents? Can I scan/fax/email them to you and have you tell me what it’s equivalent to in the U.S.? Transcript Research does not conduct preliminary reviews or provide unofficial equivalencies.

• How do you determine the basis for your equivalencies? Why did you say my document was equal to such-and-such when this other company said it was equal to something else? Where do you come up with your information? Transcript Research bases many of its U.S. credential equivalencies on the Comparability and Placement Recommendations published by the National Council on the Evaluation of Foreign Educational Credentials. Other equivalencies are based on industry-standards, extensive research, and consultation with other professionals in the country of the credentials.

• Do you do translations? Do you have recommendations for good translator services? Do you require me to submit an official translation, or can I do my own translation? Transcript Research does not do translations, but we do require English translations for documents that are not issued in English by the educational institution. Please see our Requirements page for more information about translations from your country.

 

Individuals who are applying through Transcript Research for an evaluation of their educational documents must submit official records.  Transcript Research will not evaluate photocopies, scans, or U.S.-notarized documents unless they can be verified directly by the issuing institution or ministry of education.

Photocopies become the property of Transcript Research.  Official documents sent by you, the applicant, will be returned with the evaluation using the mailing service that you specify on your application form (standard or expedited service); documents sent directly by the issuing institution become the property of Transcript Research.

If you have already submitted original documents to the college or school in the U.S. to which you want your evaluation submitted, please make arrangements for them to send us attested copies of your academic credentials.  We reserve the right to request originals from the original institution(s) that you attended, but we will make every effort to use the official documents you have already provided to an institution in the U.S.  In this situation, we are able to issue the evaluation only for that specific U.S. institution that already has your original documents; it would not be possible to issue additional copies of the evaluation to be used to apply to other institutions without original academic credentials.

Academic documents issued in a language other than English must be accompanied by an English translation.  Please see our Requirements page for country-specific requirements regarding translations if your documents are not already issued in English by the institution(s) you attended.

Your application cannot be evaluated until all fees are paid and all official documents and English translations (if applicable) are received.

Applications can be canceled within 7 days of receipt for a 50% refund. Otherwise, refunds will not be issued except in cases of overpayment.  Transcript Research does not do course-by-course evaluations for high school/secondary school documents.  If you request a Course-by-Course Evaluation for a secondary school graduate, you will only be charged for a General Evaluation, or we will refund the difference as soon as possible.

Fees are subject to change without notice.

Applications are valid for 6 months. After that time, a $50 reinstatement fee is required. Completed evaluations will be kept on file for seven years, and additional official copies can be ordered for $20 per copy.

Please note that Transcript Research reserves the right to seek verification of any academic credentials at the secondary or post-secondary level.  If verification is deemed necessary, there may be a delay in completing the evaluation.  If that is the case, we will keep you apprised of the situation and alert you to any additional documents or fees that may be required. For some countries, verification may take as long as six months so please contact us before applying if your situation is time-sensitive.  Transcript Research will not refund application fees if you decide you do not want to wait for the verification if verification or authentication is deemed necessary.  If you would like to make arrangements to have your document sent directly to Transcript Research, you can use our Records Request form.

Transcript Research does not conduct evaluations based on incomplete or reconstructed documentation.  We require all academic credentials from all institutions attended (exception: secondary credentials may not be required if more than one year of post-secondary studies have been completed).

Transcript Research makes every effort to determine authentication of academic credentials and recognition of educational institutions.  If it is believed that the documents submitted are not authentic or have been altered in some way, or if their appearance or security features do not correspond with others from that institution and time period, we may require authentication or verification of the documents.

If we receive confirmation that the documents are not authentic or have been altered, please be award that we will report that information to the proper authorities.

Official Documents

Transcript Research requires official documents to conduct evaluations.   We cannot use copies, scans, or faxes unless they can be verified with the issuing institution.  We can begin the evaluation on the basis of scanned or faxed copies of your credentials, but we are unable to complete and mail the evaluation until the official records have been received.

If we require the transcripts or other academic credentials to be submitted directly to Transcript Research form your institution, please use our Records Request form.

Translations

Some education institutions issue documents in English and another language.  We require documents issued by the institution in English and the native language (if issued) from Egypt, Eritrea, Ethiopia, European Union (if using Diploma Supplement), Hong Kong, Israel, Japan, Jordan, Korea, Kuwait, Malaysia, Oman, Palestine, Philippines, Qatar, Saudi Arabia, Sudan, Taiwan, Thailand, Turkey, and the United Arab Emirates.

For those countries whose documents are issued in French, German, Spanish, or Portuguese, please submit word-for-word English translations that follow the same format as the native language documents.

For those countries whose documents are not issued by the educational institution in English or the languages above, you must submit professional translations. Professional translations must be completed by official translators in the home country or members of the American Translator’s Association in the U.S. These translations must be word-for-word and follow the same format as the native language documents.

Authenticity Statement

Transcript Research takes authenticity of documents very seriously. If we believe that the credentials submitted for evaluation have been altered or are otherwise in-authentic, we reserve the right to seek verification of any academic credentials (transcripts, diplomas, certificates, diploma supplements, etc.) at the secondary or higher level. If our verification finds that the documents submitted were not valid, we will cancel the application for evaluation (no refund) and notify the institutions or persons listed on the application of the results of our investigation. We will also provide this information to the local authorities.

Diploma Mills

Transcript Research does not evaluate documents issued by a diploma mill or degree mill. We use extensive resources to determine the recognition/accreditation of all foreign educational institutions. If it is determined that transcripts or other documents submitted for evaluation are from a known diploma/degree mill, we will cancel the application, and no refund of fees will be possible. We will also forward the information to the local authorities and to Texas Higher Education Coordinating Board if the applicant is living or working in Texas if the school is listed on the THECB’s website of institutions whose degrees are illegal to use in Texas.

Grading Scale/Marking Scheme

Please provide a copy of the grading scale used at your institution if it is not already listed on the academic records. If information about your program is not available on the college or university’s website, we may also require that you submit a syllabus /course description / study plan.

U.S. University Attestation of Previous Records

If you have already submitted original documents to the college or university in the U.S. where you want your evaluation sent, please make arrangements for them to send us attested copies of your academic credentials.  We still reserve the right to request originals from the international institution(s) that you attended, but we will make every effort to use the copies sent by the U.S. institution where you have already presented your originals.  In this situation, we are able to issue the evaluation only for the specific U.S. institution that already has your original documents; it would not be possible to issue additional copies of the evaluation to be used to apply to other institutions unless you later provide original documents or we send your attested copies for verification.  This only applies if you are applying to a U.S. college or university and want us to evaluate copies of the academic credentials you have already submitted to the U.S. college or university.

EVALUATION TYPES

• Preliminary Review, Email-only equivalency of your credentials.  NOTE: the preliminary review is not an evaluation and does not include credits, grades, or GPA.  It cannot be used for further education, employment, or other purposes and cannot be sent to an institution for those purposes.  If you choose to upgrade later to a general or course-by-course evaluation, your preliminary review fee will be counted towards your evaluation fee: $30
  
• General Evaluation, typically recommended for immigration, some employment, and freshman admissions to post-secondary institutions; does not include GPA: $95
• General Evaluation with GPA, typically recommended for immigration, some employment, and freshman admissions to post-secondary institutions; includes GPA: $110
• Course-by-Course Evaluation, typically recommended for education, some employment, and teacher certification; includes GPA: $175

Your application cannot be evaluated until all fees are paid and all official documents and English translations (if applicable) are received.

Applications can be canceled within 7 days of receipt for a 50% refund. Otherwise, refunds will not be issued except in cases of overpayment.

Payment can be made in the form of a money order or cashier’s check in U.S. funds payable to Transcript Research or by credit card payment.

Transcript Research offers three types of international credentials evaluations:

• Preliminary Review

$30

The Preliminary Review allows you to quickly and inexpensively find out the equivalency of your educational records.  After completing the application form and providing payment, you simply fax or email us a copy of the educational records you want reviewed.  Our evaluators will examine your electronic records and provide you with an email of the equivalency that Transcript Research has determined.  This is an unofficial record that cannot be used on its own but will allow you to know how your documents would be compared.  If you later decide that you would like to apply for the General or Course-by-Course evaluation of the exact same educational records, your preliminary review application fee will be applied against the full application.  You would also be required to submit official documents for evaluation based on our country-specific requirements.

 

• Basic/General Evaluation

$95

The General Evaluation includes a synopsis of each educational credential and its U.S. equivalency; it is a statement of comparability.  It includes the indigenous Grade Point Average (G.P.A.) and identification of the recognition of post-secondary institutions if applicable. Transcript Research does not conduct a course-by-course evaluation for secondary (high school) studies.

The General Evaluation is most commonly used for immigration purposes and some employment, but it is also used for college/university admissions, generally for those who do not have post-secondary studies. If your intent is educational purposes, check with the receiving institution to find out if they need you to add the US-style GPA option ($15) to your general evaluation.

 

• Detailed/Course-by-Course Evaluation

The Course-by-Course Evaluation includes a synopsis of each educational credential and its U.S. equivalency. It includes the indigenous and U.S. Grade Point Average (G.P.A.) and identification of the recognition of post-secondary institutions. In addition, it includes a list of courses taken at the post-secondary level from each institution attended, along with indigenous grades, recommended U.S. equivalent grades, recommended U.S. credit hours for each course, and total recommended credits.  Transcript Research does not conduct a course-by-course evaluation for secondary (high school) studies.

The Course-by-Course Evaluation is most commonly used for further education and some employment.

If you had previously received a General Evaluation and would like to upgrade to the Course-by-Course Evaluation for the exact same records, please email us to be sent the upgrade application.  You will not be required to submit your documents again, only the difference in fees.

If you had previously received an evaluation from Transcript Research and now want to have additional credentials included that have been completed since the prior evaluation, please email us to be sent the re-evaluation application.  You will be required to submit any new educational credentials and the re-evaluation fee.

 

 

Transcript Research conducts credentials evaluations for those who have studied outside the U.S. and want or need to have formal documentation of their U.S. equivalent education. This may be done for further education, study abroad credit, immigration purposes (H1B processing in particular), or as part of an employment requirement. Please note that we currently do not offer a specific evaluation type for teacher education or CPA/accounting boards.
